The process begins with a complimentary 10–15 minute phone or virtual consultation. This initial conversation offers space to discuss what brings you in, answer questions about the process, and determine whether the practice feels like the right fit.

Beginning therapy can feel vulnerable. Finding a provider whose approach feels grounded, responsive, and aligned with your needs is an important part of the process.

Meadowbrook Counseling Services works with select insurance plans through Headway and also offers private pay options. Coverage varies by plan and location, and benefits are reviewed prior to beginning whenever possible.

Clients are ultimately responsible for understanding their individual coverage, including deductibles, copays, coinsurance, and authorization requirements.

Current accepted plans may include:

• Blue Cross Blue Shield of Illinois

• Aetna

• Optum / United Healthcare

Additional credentialing may still be in process depending on plan and state availability.

Private pay options are available for individuals seeking additional flexibility, increased privacy, or services outside of insurance coverage.

Couples therapy and certain consultation-based services are typically offered on a private pay basis and may not be covered by insurance plans.

For clients utilizing out-of-network benefits, superbills may be provided for reimbursement when appropriate.

Once scheduled, intake paperwork and consent forms are completed securely online through the client portal prior to the first appointment.

The intake process includes practice policies, informed consent, background information, and questions related to current concerns, goals, and history. Completing forms in advance helps create a smoother start and allows early sessions to remain focused on understanding what brings you in and where you would like the work to go.

Sessions are 50 minutes and typically begin on a weekly basis to establish consistency and momentum within the work.

Over time, session frequency may shift depending on goals, clinical needs, and life circumstances. The process is collaborative and tailored to the individual rather than strictly formulaic.

Consistent attendance supports the therapeutic process and helps maintain continuity of care.

If a cancellation or reschedule is needed, at least 24 hours notice is requested whenever possible. Appointments cancelled with less than 24 hours notice, as well as missed sessions, will incur a $180 late cancellation or no-show fee.

Unexpected emergencies and extenuating circumstances are approached with understanding and clinical discretion when appropriate.
